Define The Funnel Before The Tool
A useful software shortlist begins with a diagram of the customer journey. Write down where traffic comes from, what the first conversion is, whether money changes hands, what happens immediately afterward, and how follow-up works. If a feature does not support one of those jobs, it should not dominate the buying decision.

We look at seven practical layers: page and funnel construction; forms and lead capture; checkout and offer mechanics; email and automation; contact/CRM handling; analytics and testing; and integrations or developer access. The importance of each layer changes by business model.
For example, an agency may care about multiple workspaces and team permissions while a course creator cares more about checkout, email and customer delivery. An ecommerce operation may prioritize product handling, checkout and post-purchase offers.
Avoid Paying For Hypothetical Scale
Choose for the next realistic stage of the business, not an imagined organization five years from now. At the same time, identify the limits most likely to become painful—contacts, email sends, workspaces, domains, team seats or courses—so you understand the cost of moving up a tier.
Run A Small Proof Before Committing
Whenever possible, build one complete representative funnel during a trial or low-risk period. A complete proof is more revealing than clicking through templates because it forces you to test the handoffs between pages, forms, payments, automation and reporting.
